Secure facilities often house a significant amount of equipment vital for achieving organizational objectives. This equipment must be inventoried periodically, especially when it constitutes government property. Managing such inventories involves identifying and tracking assets as well as performing regular audits and reporting asset data to government systems. Given the high stakes associated with government property, accuracy in reporting is paramount due to frequent audits and reviews.
Historically, SCIF security protocols necessitate manual inventory methods, relying on clipboards and pens due to restrictions on electronic devices. While manual inventories are feasible for a limited number of assets, they become increasingly cumbersome and prone to human error as the number of assets grows. However, advancements in Auto ID technology now offer a viable solution for streamlining inventory management in secure facilities.
Mobile RFID and barcode technologies have evolved to operate in offline or disconnected modes, allowing users to conduct inventory scans without network connections. This offline functionality enables data collection and storage on handheld devices, which can be uploaded in batches to asset management platforms once the user is back in a networked environment. Such advancements are particularly beneficial in environments like SCIFs, where traditional wireless communications are restricted.
A typical use case involves performing inventories in outdoor facilities or large yards without cellular or WiFi access. Barcode scanning requires line-of-sight between the reader and the barcode, while RFID technology allows for capturing tags within range without direct sightlines. This makes RFID solutions faster and more accurate than barcode scanners, enhancing efficiency in inventory management.
One significant challenge with disconnected inventory management has been ensuring the security of asset data. Previous iterations of mobile devices were deemed security risks due to potential vulnerabilities. However, recent developments have addressed these concerns with improved security measures, such as restricting data exchange capabilities and incorporating state-of-the-art encryption.
Modern disconnected RFID and barcode readers now feature permanently disabled components, ensuring that devices cannot inadvertently transmit data via WiFi, Bluetooth, Near Field Communication (NFC), or cellular networks. This permanent disability of communication components, coupled with robust encryption at the moment of data capture, has made these devices acceptable for use in SCIF environments.
Encrypting data at rest and during transit bolsters security in disconnected RFID devices. Immediately encrypting and storing captured asset data on the handheld device makes it unreadable without the correct decryption key. This ensures that even if a device falls into the wrong hands, the data remains secure because accessing the inventory data stored on the device requires use of a unique dock cradle hardwired to a secure network.
Furthermore, limiting data transmission to physical docking cradles with specialized connections prevents any form of wireless data exchange and ensures that inventory data can only be accessed through secure, hardwired connections that require authenticated user credentials. This method maintains encryption throughout the data’s journey from capture to upload, safeguarding its integrity and security.
The process of using disconnected RFID and barcode scanning devices for inventory management in SCIFs is straightforward yet remarkably effective. Personnel with access to the facility can use offline handheld scanners to perform inventories, capturing and encrypting data on the device. Once outside the secure area, the device is docked in a networked cradle, then data is uploaded to the asset management platform and processed into readable formats using the correct decryption key.
